Administrative Assistant

This position directly reports to the Office Coordinator in matters pertaining to the execution of their work at CFS.  The Administrative Assistant is required to perform a variety of office administration tasks.  The roles and responsibilities are varied and staff must be well organized, flexible and able to respond to the immediate needs of both staff and clients.  Since the Administrative Assistant is the first contact people have with CFS, it is imperative that they be able to provide appropriate information in a professional, pleasant and welcoming manner.

Qualifications:

  • Excellent customer service skills both in person and on telephone
  • Effective time management and organizational skills
  • Effective interpersonal, written and oral communication skills
  • Conflict resolution and crisis intervention skills
  • Proficiency with computer software, such as Office 365( Word, Excel, Outlook, Teams), Zoom, Canva
  • Team player
  • Ability to maintain the dignity and integrity of the clients receiving services by providing confidential, culturally sensitive, and supportive approaches.
  • Satisfactory criminal record check with vulnerable sector query.
  • Post-secondary education and or/experience in relevant field is preferred but not required.

Responsibilities

  • Welcome clients and visitors; refer all requests for service to appropriate personnel
  • Maintain the reception area and other assigned office areas, including opening, sorting, and routing mail/emails to the appropriate personnel. Additionally, assist with requisitions for office supplies and equipment as needed.
  • Manage client files along with both digital and physical filing systems.
  • Assist in preparation of meeting minutes
  • Provide support with staff training in new office programs/initiatives
  • Assist with maintaining website, social media and IT support as assigned
  • Provide administrative support for organizational policies, procedures and statistical reporting documents as needed
  • Provide administrative support for program planning and service delivery as needed
  • Preparation/data entry for Accounts Receivable/ Accounts Payable/Payroll/Bank deposits
  • Any other duties as assigned by the supervisor and/or Executive Director

Employment Type: One-Year term with the possibility of extension (Flexible hours-part time or full time)
