Receptionist

Job Summary:

At Catholic Family Services of the Battlefords Inc., we offer a wide range of counselling and support services to individuals, couples, families and groups. The receptionist position is directly responsible to the Office Coordinator in matters pertaining to the execution of her/his work at the Agency. The Receptionist is required to perform a variety of clerical, reception and data entry tasks. The roles and responsibilities are varied and staff must be well organized, flexible and able to respond to the immediate needs of both staff and clients. Since the receptionist is the first contact people have with the agency it is imperative that they be able to provide appropriate information in a professional, pleasant and welcoming manner.

Qualifications:

  • High School Diploma. Clerical/Business Certificate would be an asset
  • Telephone & people skills
  • Effective interpersonal relationship skills to build and maintain positive relationships within and outside the organization
  • Responsible, prompt, trust worthy, dependable, team player
  • Respect for confidentiality & privacy
  • Knowledgeable using Microsoft Word, Excel, Outlook, Zoom and Office 365
  • Criminal record check with vulnerable sector query

 

Roles and Responsibilities

Reception duties including:

  • Incoming mail:  Open, sort and route mail to appropriate personnel
  • Welcome clients and visitors;
  • Refer all requests for service to appropriate or requested personnel
  • Answer multi-line switchboard telephone; Announce and transfer calls to appropriate personnel, take message when required; 
  • Scheduling of counselling appointments
  • Maintain the Waiting Room for neatness/tidying
  • Maintain storage rooms and supply areas to be welcome and tidy
  • Control and issue requisitions for office supplies
  • Arrange for repair and maintenance of office equipment as required
  • Maintain extensive computer and traditional filing system
  • Preparation of all staff meeting minutes
  • Maintenance of Agency Resource Library
  • Provide support with training staff in new office programs/initiatives (For example: Office 365, Zoom, Skedda, Remind)

 

Data entry duties including:

  • Opening and closure of client files
  • Maintenance of client files (updating pertinent file changes)
  • Tracking statistical information specific to contract requirements
  • Prepare monthly, quarterly, mid-year and annual statistical reports
  • Develop statistical and administrative forms based on Agency requirements
  • Accounts Receivable:
    • Receive and record client fees
    • Preparation of accounts receivable billing:  EAP & Direct Billing
    • Tracking and following-up for outstanding receivables
    • Receive and record donations and bequests
    • Reconcile record of monies received & ledger
    • Preparation of weekly bank deposits
    • Any other duties as assigned by the Office Coordinator and/or Executive Director
